Oral Presentation Guidelines

Oral presenters are expected to give in-person talks in Honolulu.  You will need to submit two files via the link below or via the link that was emailed to you. Individuals giving oral presentations will prepare a slide deck as well as a recorded version of their presentation that will be available on-demand to all AFS 2024 participants. Please review the following instructions for preparing your talk. As a reminder, most talks should be 12 minutes in length and lightning talks should be 5 minutes.

  1. Slide decks (PPTx files only) must be uploaded using this link by Wednesday, September 4, 2024. This is a hard deadline and required of all speakers. Updates to your slide deck can be on site. Presentations should be 12 minute talk with 3 minute Q&A.
  2. Video files are due no later than Friday, September 13, 2024. You will need to upload an MP4 video file of your talk via the speaker portal, which arrived in your inbox (check your spam folder, too) in late July. There are multiple options for preparing video recordings of your talk, here are a few:
  3. Onsite updates may be made in the speaker preview room but must be made at least the day before your talk. The speaker preview room will be open at the following times.
    • Sunday, September 15: 12:00 – 4:00 pm
    • Monday, September 16: 8:00 am – 5:00 pm*
    • Tuesday, September 16: 8:00 am – 5:00 pm*
    • Wednesday, September 18: 8:00 – 5:00 pm*
    • Thursday, September 19: 8:00 – 11:00 am

*Speaker preview room closed between 11:00 -12:00 pm for lunch daily.

Poster Presentation Guidelines:

Individuals giving their poster presentation should prepare both a printed poster for display at the conference and a PDF version to upload. Poster presenters may record an optional short video (under 3 minutes) describing their poster that will be available on-demand to all AFS 2024 participants. Please review the following information related to posting and attending your posters as well as information for uploading a pdf version and optional video for display on the virtual conference platform.

Posters should be prepared and printed with final dimensions under 32 inches on the horizontal plane (x)  by 48 inches on the vertical plane (y). Tacks will be provided, but also consider bringing a few extras. Poster numbers will be sent in late August.

All posters should be hung on Monday, September 16th between 9:00 – 11:00 am. Poster presenters are expected to attend their poster during the Exhibit and Poster networking Event on Monday, September 16 from 5:30 – 7:30 pm.

All posters will need to be removed from the poster hall between 1:30 – 4:00 pm on Wednesday, September 18, 2024. Posters remaining after the removal period will be taken down and recycled by AFS staff.
