Dear AFS Partner,
We hope you and your organization are faring well in these difficult times. As tough as it may seem, AFS is trying to prepare for a return to normalcy and we are carrying on with the programs and services fisheries professionals and industry supporters like you rely on. This message provides you with updates on our 150th annual meeting scheduled for August 30th, 2020 in Columbus Ohio and our latest thinking around meeting programming and planning.
AFS is continuing with annual meeting planning and we fully intend to hold the meeting, government regulations permitting. We have been in contact with our Columbus, OH hotel properties and convention center and these partners have affirmed their commitment to support AFS so we are able to hold this event.
We wholly expect to offer robust symposia and education programs, networking and social events, a vibrant exhibit hall showcasing the latest technology innovations and professional services along with numerous sponsorship opportunities.
Recognizing this year will require great flexibility, we are modifying programming submission and exhibit reservation schedules to provide attendees and organizations with as much flexibility as possible leading up to the meeting. In turn, we’ll be extending our booth cancellation deadline from June 30, 2020 to July 30, 2020.
Celebrate 150 years of fisheries ecology, conservation, and management with fisheries students and professionals from across the world! Our Columbus meeting will have special exhibits and activities that highlight the achievements from all those who have contributed to the AFS mission over the past century and a half. Join us and exhibit your new technologies alongside the rich history of the fisheries tradition!
The city of Columbus is a gem, surprising first-time visitors with its beauty, friendly atmosphere, culinary delights, meticulous landscaping, vibrant nightlife, and many attractions. Join us at one of the hundreds of restaurants or breweries within walking distance of the Convention Center or take a stroll down the Scioto Mile and enjoy one of the many parks along Ohio’s longest river. From shows and sports to drinks and cuisine, Columbus has something fun and exciting for everyone!
Your exhibit at this major industry event will be seen by an expected attendance of over 1,800 fisheries and aquaculture scientists; federal, tribal, state, and local administrators, directors, and elected officials; educators; consultants; and employees of marine and freshwater fishing sectors.
Meeting sessions, events, and the trade show will take place at the Greater Columbus Convention Center. The Trade Show Networking Event, a mixer on the first evening of the Trade Show, provides an ideal opportunity for casual introductions and informal networking. Also, be sure to check out our new Tech Talks: forums provided by AFS for you to communicate your most innovative and impactful fisheries technology and techniques directly to our attendees!
Two complimentary conference registrations are included for booths rented at the member and nonmember rates. These passes allow exhibitors to attend all conference sessions and functions, interact with attendees outside the Exhibit Hall, and gain information on industry issues. Alternatively, two exhibitor-only badges are granted for each purchase of a nonprofit or crafter booth. The exhibitor-only badges grant access to the exhibit hall but do not grant access to conference sessions or other events.
AFS Center for Fisheries Technology and Collaboration exhibitors will include federal and state fisheries agencies, sellers of photos, arts, and crafts, and companies providing boats, aquaculture supplies, fish tagging and tracking equipment, computer and software applications, consultant services, digital fish-measuring equipment, water quality monitoring and filtration systems, aeration systems, hydroacoustic systems, and others related to fisheries research and management. This historic event will be a celebration of the fisheries tradition, and not to be missed.
- AFS Member Firm*: $1,800.00 per booth
- AFS Nonmember Firm: $1,950.00 per booth
- Crafters: $450 per booth
- Nonprofit: Government-Approved, $650 per booth
*To qualify for the member rate, the exhibiting company must hold a Sustaining, Official, or Associate Membership with AFS. Please include your membership number to ensure that you receive the correct rate.
Tech Sessions: $2,000
NOTE: these tech sessions occur in a dedicated room in which you can showcase your products for so long as the session lasts. These are not the same as the new “Tech Talks” within the trade show area.

2020 Show Information
Exhibitors at the member and non-member rates receive two full-conference registrations. Additional exhibitors or exhibitors at crafter and nonprofit booths must purchase full registration to attend sessions or events other than the Trade Show networking events.
- Ten-foot (10’) back drape and three-foot (3’) side drapes
- One eight-foot (8’) table
- Two chairs
- One wastebasket
- One 10’ x 10’ space
A complete service kit containing information on carpet, utilities, and freight will be sent by Modern Expo approximately six weeks prior to the meeting.
AFS 2020 Exhibitors will be listed in the June 2020 issue of Fisheries, the monthly publication of the American Fisheries Society. Company descriptions will also be included in the conference program guide and meeting app if submitted prior to June 1, 2020.

EXHIBITOR RULES AND REGULATIONS EXHIBIT LIMITATIONS Exhibits may not project beyond the space allotted and aisles must be kept clear for traffic. Exhibits shall not obstruct the view of or interfere with access to other exhibits. Devices for reproducing sound or music may be restricted at the discretion of the American Fisheries Society. Projection of sound beyond the confines of the exhibit is prohibited unless a request is submitted to and approved by AFS in writing prior to the conference.
BOOTH ASSIGNMENT The assignment or subletting of any part or all of an exhibit booth is prohibited unless a request is submitted to and approved by AFS in writing prior to the conference. AFS reserves the right to change the location of exhibition space and reassign exhibit booths if it determines such action is in the best interest of the conference.
PROMOTIONAL CONSIDERATION All promotional considerations for the printed Program Guide are subject to submission and receipt to the American Fisheries Society by June 20, 2020. Submission after that date may not meet the print deadline and not be included in the printed guide.
RIGHT OF REFUSAL AND/OR CANCELLATION AFS reserves the right to refuse the application of any organization not meeting the required standards, as well as the right to curtail exhibits or parts of exhibits that detract from the character of the conference. This also applies to displays, literature, advertising, novelties, souvenirs, and personal conduct. AFS reserves the right to cancel this agreement whenever it discovers that the exhibitor’s display is not as described in this agreement or is incompatible, in the opinion of AFS, with the purposes of the conference.
INSURANCE AND HOLD HARMLESS AGREEMENTS Fire, theft, liability and extended coverage insurance are not provided by AFS, or the Columbus Convention Center. Exhibitor may obtain such coverage at its own expense. Small and valuable exhibit materials should be packed each night and placed in a secure location. Exhibitor remains responsible for all property brought into the conference facilities and shall bear the sole risk of loss for that property. Exhibitor agrees to indemnify and hold harmless the American Fisheries Society, the Columbus Convention Center, and their agents and employees from any damages caused by theft or other perils normally covered by extended coverage, liability, theft, or fire policies. Exhibitor shall indemnify and hold harmless the American Fisheries Society, the Columbus Convention Center, their agents and employees, and co-sponsoring agencies for all claims, losses, liability, or damages for injury, death, or property damage that may arise from activities of the exhibitor, its employees, agents, invitees, and licensees.
ATTORNEY FEES AND COSTS Should any litigation arise out of this contract, the exhibitor shall pay all costs and reasonable attorney’s fees incurred by AFS and/or the co-sponsoring agencies if AFS, or the co-sponsoring agencies are the prevailing party. This provision shall extend to the costs and attorney’s fees incurred at both the trial and appellate levels.
TAXES AND LICENSES Exhibitor shall be responsible for obtaining any licenses, permits, or approvals required under local, state/province, or federal law applicable to its activity at the conference, including the use of copyrighted music. Exhibitor shall be responsible for obtaining any tax identification numbers and paying all taxes, license fees, or other charges that shall become due any governmental authority in connection with its activity at the conference.
FIRE, SAFETY, AND HEALTH Exhibitor agrees to accept full responsibility for compliance with city, county, state/province, and federal fire, safety, and health ordinances regarding the installation and operation of equipment. All exhibit materials and equipment must be reasonably located within the booth and protected by safety guards and devices where necessary to prevent personal accidents to attendees. Exhibitor hereby represents and warrants to AFS, and co-sponsoring agencies that the exhibitor has taken all steps reasonably necessary to ensure the sound engineering and structural integrity in its exhibit design and the proper construction and safety of the exhibit itself, as erected.
CANCELLATIONS AND REFUNDS In the event of cancellation by the exhibitor, the following schedule of refunds will be followed:
- A 50% refund will be paid if written cancellation is received before June 20, 2020.
- No refunds will be made after June 20, 2020.
- In the event of cancellation by AFS, the amount to be refunded will be determined by AFS at the time of cancellation.
